Creating an Entry: A Step-by-Step Guide

  • If you're slick with Photoshop, or already know how you want your page to look, check out the advanced guide to get the exact details on the file you need to send us.
  • If you want to produce your entry by hand, do so on a landscape A4 page, and give it to us (in a plastic wallet), so we can scan it in at maximum quality. By all means, scan it in yourself if you want to make further modifications on computer!

We're accepting Yearbook entries (including all individual, subject, sports and society sections) in digital and hand drawn formats (for us to scan-in).

This guide is to help you create a fantastic entry using PowerPoint, which hopefully most people know how to use. If you don't, get in touch with us or look out for the Yearbook Drop-in Sessions we'll be running in Week 6!

    Step 1: Get a template.

Download a template (should work on all versions of Office, Macs, and College Computer Rooms).

Each of these templates are Powerpoint files, which corresponds to the landscape A5 page you've got in the Yearbook. However, the slides are much larger than they appear, to boost quality. This means that text of size 30+ will appear normal (e.g. around 10-16) in the final Yearbook. Please evoid using text smaller than 30 - it won't show up in print!


    Step 2: Make your entry.

The content is up to you, but the benefit of using PowerPoint is it's easy to insert text boxes and images, and move things around. Check-out Krystyna's page and last year's best for ideas on what to include.

Important: The quality of the photos you use is VERY important. Whatever you do, please don’t get them directly from Facebook: it will look bad in print. Check here and here for advice on photos.


    Step 3: Save your file.

First, make sure your entry is saved as a PowerPoint Presentation (.ppt) so that you edit it if you need to.

After that go to the "Save As" option. Click on the drop down box for "Save as type" and select "PNG Portable Network Graphics" (*.png)". Click "Save". If this doesn't work (e.g. if you have an old version of PowerPoint), try on a College Computer, or a friend's computer.


    Step 4: Send us your entry!

E-mail your entry to caiusyearbook2011@gmail.com with "[PERSONAL]" in the subject field. We will send you a confirmation e-mail to say we're happy with the file.

NB - Hermes has an attachment limit of 50MB. If you're having trouble because the file is too large, (it really shouldn't be!) email me on gv233 and we can work something out!
